Why PDF is the standard for invoices

An invoice has one job: to state, unambiguously and permanently, who owes what to whom. PDF is the only everyday format that guarantees this. Word processors reflow, spreadsheets recalculate, email HTML renders differently on every client — but a PDF is frozen. The fonts, the layout, the totals your client sees are the ones you approved.

That permanence matters beyond aesthetics: it's what makes a PDF invoice acceptable for bookkeeping, tax filings and, if it ever comes to it, dispute resolution.

A4 or US Letter?

Use A4 for clients in Europe, Asia, Africa and most of the world; use US Letter (8.5 × 11 in) for the United States and Canada. The difference is small but real — A4 is narrower and taller, and margins designed for one can look off on the other.

InvoJar's templates are tuned for A4 print output, which is the global default. If you mostly bill North American clients and your PDF printer offers Letter, both will look correct because the layout scales cleanly; just keep the paper size consistent with what your client files and prints.

How to send a PDF invoice

• Name the file professionally: "INV-2026-041 — Acme Corp.pdf", never "invoice_final_final2.pdf".
• Attach the PDF itself — don't paste screenshots, and don't rely on a link that expires.
• Put the invoice number and amount in the email subject line; AP staff triage by subject.
• Send it from the email address that appears on the invoice. Mismatched sender addresses get flagged by corporate spam filters.
• Keep the sent PDF — it's your canonical record of what was billed and when.

Check your PDF before you send it

Thirty seconds of proofreading prevents the most common (and most avoidable) payment delays:

• Client name matches their legal / registered name, not a nickname.
• Invoice number is new and consecutive with your previous ones.
• Due date is what you actually agreed — not the template default.
• Totals recalculate correctly if you changed quantities at the last minute.
• Payment details are complete: account number, routing/SWIFT, payment reference.
• Your contact email on the invoice is one you actually check.

Then send it with the invoice number in the subject line, and file the PDF. Done properly, this is the last time this invoice requires any thought until it's paid.
