What every invoice template should include

A template is only as good as its fields. Before you use any template — ours or anyone else's — make sure it has room for all of these:

• Your business name, address and contact details (and tax ID if you're registered).
• The client's legal name and billing address — not a nickname, not just an email.
• A unique invoice number and both the issue date and the due date.
• Itemized lines with descriptions, quantities, rates and line totals.
• Subtotal, tax, discount and grand total, each on its own line.
• Payment terms: how to pay, by when, and what happens if they're late.

Missing fields are the number one reason invoices get bounced back by accounts payable departments. A complete template avoids that round-trip entirely.

Choosing a design that fits your business

Design isn't vanity — it sets expectations. The Classic serif design reads formal and established, which suits consultancies, law-adjacent work and traditional industries. The Modern layout with a bold color header suits agencies, studios and anyone selling creative work. The Minimal template puts the total front and center with zero decoration, which is what most freelance clients actually want to see.

Whichever you choose, use the accent color to match your brand, add your logo once, and then never touch the design again. Consistency across invoices is what makes a one-person business look like an institution.

Three mistakes people make with templates

• Reusing the same invoice number for edits — every version you send should have its own number, or your records and your client's records stop matching.
• Leaving the due date blank. An invoice without a due date is legally ambiguous in many places and practically ignored by slow payers.
• Writing vague line items like "services rendered". Itemized descriptions are your best defense against payment disputes — and against clients who simply forget what they paid for.

From template to sent invoice in five minutes

A realistic first run: open the template, type your business name and address (two minutes, done once — the browser remembers it). Add the client and today's date (thirty seconds). Type your line items and rates, watch the totals calculate (one to two minutes). Set the due date, paste your payment details into the terms, download the PDF, attach it to a two-sentence email. Send.

The second invoice takes half as long, because everything except the line items is already in place. That's the real value of a good template: not the design, but the fact that starting from zero happens exactly once.
